一、电话沟通业务

在商务活动中,尽管沟通的方式多种多样,电话沟通仍然占据重要的地位,发挥较大的作用。电话沟通的流程一般为以下几步:

● 接听电话、主动报出自己单位名称、自己的姓名和职务;

● 询问对方单位名称、姓名和职务,寒暄问候;

● 进入正题、商量有关事宜;

● 礼貌道别、挂断电话。

(一)电话沟通常用表达方式

1.Good morning, I’d like to speak to Mr.Smith.

早上好,我找史密斯先生。

2.Hello, is that Mr.Smith?

您好,是史密斯先生吗?

3.Can I speak to Mr.Smith, please?

我能和史密斯先生通话吗?

(二)如何留言及记录电话留言

在日常的商务活动中,打电话时会遇到对方不在的情况,这时打电话的人就要留口信给接电话的人,而接电话的人就需要记录电话留言。

1.电话留言的七个主要步骤:

(1)告诉对方信息是留给谁的;

(2)告诉对方你是谁;

(3)说明来电的事由;

(4)拼写所有复杂的单词,主要包括姓名、公司名称及地址

(5)要求回电;

(6)留下你的具体联系方式;

(7)告诉对方你何时有空,可以再联系。

2.电话留言的格式

电话留言(telephone message)包括五个部分:打电话者(from)、电话接收者(to)、日期(date)、时间(time)、留言内容(message),在留言的最后还要签上记录人的姓名(signature)。电话留言可以是手写便条的行式,也可以是填写留言簿的形式。电话留言簿大同小异,主要有以下两种格式:

电话留言最根本的特点就是内容言简意赅,信息准确。在记录电话留言信息时,行文要简明扼要、通俗易懂,将打电话人的意思清楚明白地表达出来即可。

二、商务接待

商务接待是指建立在商业谈判或者商业合作上的对外联系接待活动,是商务活动中的服务工作。商务接待的礼仪规格一般较高,主要接待活动包括会议接待(receiving attendees at a meeting)、展会接待(receiving visitors on exhibition)、商务参观、考察(receiving clients for business visits)、商务宴请(entertaining clients to dinner)、陪客户观光(showing clients around sights)、购物(accompanying clients in shopping)以及送别客户(saying farewell to clients)等方面。商务接待工作主要包括接待前的准备工作和接待中的服务工作两大部分。

(一)接待前的准备工作

在来访客户或合作伙伴(以下简称来宾)到访之前,接待单位要全面、认真做好接待前的准备工作。接待前的准备工作主要包括以下几部分:

1.了解清楚来宾的基本情况,包括所在单位、姓名、性别、职务、级别、一行人数,以及到达的日期和地点。

2.根据来宾的具体情况确定具体的接待规格,确定具体的接待人员。

3.根据来宾意图和实际情况,拟出接待日程安排方案。

4.根据来宾的身份和其他实际情况,安排住宿、接待用车、饮食等事项。

5.根据来宾的来访目的,做好后续接待活动安排。

(二)接待中的服务工作

商务接待中的服务工作主要包括商务宴请接待、商务会议接待、商务参观、考察接待、商务休闲娱乐接待和展会接待等内容。根据来访客户或合作伙伴的级别以及来访目的不同,接待中的服务工作的内容和流程也不一样。

1.商务宴请接待流程:

(1)确定宴请的人数、时间、地点、方式、标准,选择合适的酒店;

(2)与酒店确认宴会菜单,摆放席位卡,并核对确认;

(3)接待人员提前一小时到宴会厅,督促检查有关服务;

(4)接待人员主动引导来宾入席;

(5)严格按拟定的宴会菜单上菜、准确把握上菜节奏,不宜过快或过慢;

(6)宴会结束后引导来宾离席。

2.商务会议接待流程:

(1) 明确商务会议的基本情况,包括出席会议的主要人员的职位、姓名等基本信息;

(2)布置会场、安排好会议座次和座席卡;

(3)准备会议用品、调试会场设备;

(4)引导参会人员签到、领取参会代表证及会议资料;

(5)会议期间提供会务服务;

(6)会议结束后清理会议资料,打扫、关闭会议室。

3.商务参观、考察接待流程:

(1)确定参观、考察的时间、地点、人员级别以及考察路线

(2)准备参观、考察所需的相关资料;

(3)安排好参观、考察行程中所需车辆;

(4)参观、考察期间做好随车接待、路线引导工作;

(5)参观、考察结束后送别考察人员。

4.商务休闲娱乐接待流程:

(1)征求来宾意见并根据来宾的喜爱和习惯安排休闲娱乐活动项目;

(2)确定休闲娱乐活动时间,安排活动场地;

(3)根据来宾兴趣灵活掌握休闲娱乐活动时间的长度

(4)安排休闲娱乐活动行程中所需车辆;

(5)休闲娱乐活动期间做好随车接待、陪同工作;

(6)休闲娱乐活动结束后送别客户。

5.展会接待流程:

(1)展会前准备好参展所需物品;

(2)布置展台;

(3)开展前检查展品、确保设备状态良好;

(4)散发公司宣传材料、向客户介绍产品、赠送礼品;

(5)收集、整理客户资料

(6)每日展示结束后要对展位进行规整,做好清洁工作。

三、商务接待中常用英语表达

(一)机场迎接、送别
